We felt that it would be helpful to our clients to send out some information regarding our response to the COVID-19 outbreak.

As you will appreciate, the Virus causes major issues for events companies and Symposium is operating in line with current Government Guidelines, but recognise that many of our clients may be taking a different approach, which might cause some issues with current bookings for Symposium events.

Currently, our expectation is that all training courses and conferences will continue to run as planned and the Government’s guidelines are clear that it is ‘business as usual’ for the time being.

We are investigating the use of remote access solutions and webinars for events and may be able to offer recorded versions of some events to those unable to attend.  This is not yet certain, so please bear with us while we investigate the options.

If you do wish to consider moving/changing your booking with us, we are doing so according to our Terms and Conditions, which state:

Cancellations, Changes and Substitutions by Delegates

Cancellations can be made up to one month before the event. Cancellations must be confirmed in writing and will be subject to a cancellation charge of £100 + VAT. Cancellations at less than one month from the event date are be subject to full payment. Substitutions may be made at any date and are subject to a £100 + VAT administration fee. Non-payment or non-attendance does not constitute a cancellation.   If you want to change to another course date, or different event, we will do our best to accommodate your request, but we reserve the right to refuse changes. Changes to dates and courses are subject to a £100+VAT administration fee.

Therefore, we are writing to you to ensure that any cancellation of work is done so within one month of the start date, otherwise this could fall within the ‘less than one month’ notice with 100% cancellation charges. Given the situation we are prepared to accept postponements without an identified new date, but reserve the right to cancellation terms later in the year, should the place not be rebooked.

Please also note that some delegates may have already booked transport and accommodation and we cannot accept any liability for these costs in the event of a cancellation of change of booking date.
